Document Management
The document management feature in iSGCAS is designed to facilitate and standardize the process of recording digital documents while collecting relevant data for accreditation processes from various sources, including individuals, companies, contracts, and vehicles. This enables collaborating companies to send essential documents to the ordering company efficiently.
The document management system follows a defined information flow starting from the collaborating user, who records information and digitizes documents for review. A designated reviewing entity, configured within the system, is responsible for validating the submitted documents, with the authority to approve or reject them. Approved documents become official records within the system and can be utilized by other functions, such as access control. Rejected documents are returned to the origin for correction and resubmission.
Additionally, the document manager offers robust configuration options, allowing each document type to have specific settings regarding validity, uniqueness (preserving historical records), issuing sources, and whether pre-approval is necessary before being designated as an official system record. The configuration also supports the creation of transactional records linked to documents that require data validation, such as employment contracts and credit.
Access Control to Facilities
Our solution provides comprehensive control over entry and exit to organizational facilities, whether centralized or geographically distributed. Utilizing credentials, individuals are authenticated, and an integrated business process manages the authorization, granting or denying access accordingly.
Site Access Control
This function enables the authorization of entry to a site for individuals who meet systemdefined requirements. Each person is assigned a parameterizable category (e.g., Visitor, Operations, Plant Shutdown, Projects) for generating management information. The system supports multiple control points and independent business rules, providing flexibility in access control. Business rules can be tailored to specific checkpoints and classifications (e.g., internal staff, external staff, visitors).
Access Control to Restricted Areas
This feature manages access to restricted areas by allowing an administrator to oversee a list of authorized individuals within a specified timeframe. Multiple access controls can be established (e.g., credential plus a 4-digit key), along with independent business rules for various checkpoints. Area administrators can assign, block, extend, or manage access permissions, with users able to submit requests through an approval workflow.
PIT Access Control
This function authorizes entry to the PIT (pit) in mining facilities by validating compliance with safety requirements and training courses. Driver identification verifies the validity and authorization of the driver’s license.
Attendance and Time Recording Threshold
The Attendance and Time Recording function allows workers to voluntarily log the start and end of their workdays, including any breaks. The system aims to maintain accurate records of hours worked to meet regulatory inspections, union agreements, and employee requests, while also providing data for optimizing labor costs and enhancing workforce productivity.
The self-consultation functionality allows workers to easily access their attendance and time information. Through self-service totems, they can obtain relevant information and documents as specified by the organization. These totems can be installed in areas with high worker concentration, enabling employees to access their data on demand and assisting the Human Resources department with self-service inquiries.
Internal Driver License Management
In large mining or industrial operations, driving within the site often requires obtaining an internal driver’s license in addition to a municipal driver’s license. Our solution facilitates the management of the Internal Driver’s License through a comprehensive workflow that includes generating an Internal License Request, evaluating requirements, and issuing the internal license with the necessary approval stages.
Furthermore, the system allows for recording infractions committed by drivers and implementing sanctions based on the severity of the infraction, ranging from reprimands to indefinite suspension of the Internal License.
Internal License Application
The application is generated by the interested party—whether internal or external personnel. It is approved by management and follows a process flow that culminates in the issuance of the Internal License. This workflow is highly configurable to meet specific needs.
Requirements Control
The requirements for driving are validated based on the area of interest and the type(s) of vehicles to be operated. The system monitors valid documents and verifies them during each driver check, including for heavy or industrial equipment (e.g., overhead cranes, bulldozers).
Types of Internal License
The system allows for the definition of various license types to differentiate among sectors (administration, mine, plant, etc.) and driver categories (visitors, permanent staff, sporadic drivers). This facilitates effective control and identification of potential infractions.
Violations and Sanctions
The enforcement of infractions against drivers who fail to comply with internal traffic regulations is a routine procedure. Driver's Resume
A resume is generated for each driver, recording all events related to their Internal Driver’s License, including applications, renewals, infractions, appeals, and sanctions. This detailed information allows for quick and easy access to all relevant driver data.
